Services/Quote follow-up

Quote follow-up

"Quotes go out and that's the last we see of them."

Your reps send the quote, then get pulled into the next RFQ, a customer issue and a few fires. A month later nobody knows whether the job is still alive. I put every open quote on one board and set up follow-up that runs on a schedule in your rep's name, so no quote goes quiet because someone was busy.

What's included

One board for every open quote, and follow-up that runs itself

  • The last 12 months of quotes loaded into one pipeline, with value, part type and owner
  • Stages that match your process, from RFQ received to won, lost or no decision
  • A follow-up cadence after every quote: timed emails in the rep's name, plus call tasks
  • A one-click reason whenever a quote is lost or goes dead
  • Dead and lost quotes rolled onto your monthly customer email
  • A dashboard: open quotes by age and value, win rate, reasons lost
  • I run it for the first 60–90 days

When it's handed over

A live quote board, follow-up that runs without reps remembering, and win-rate and loss-reason numbers you've probably never seen.

Not included: ERP integration, estimating.

Example cadence

What happens after a quote goes out

  1. Day 0

    Quote sent

Logged in HubSpot with value, part type and owner. The cadence starts on its own.

  2. Day 3

    Check-in email

From the rep: any questions on the quote, the tooling or the lead time?

  3. Day 7

    Call task

The rep gets a reminder to call, with the quote details attached.

  4. Day 14

    Useful update

A short email with something new: open capacity, a material option or a similar job you shipped.

  5. Day 30

    Close the loop

A direct ask whether it's still active. Lost or dead quotes get a reason and move to the monthly email.

Timing and wording are set to your process during setup.

Why it matters

Every lost quote tells you something.

If you can't say why you lose quotes, you can't fix it. A one-click reason on every lost or dead quote means a few months of data shows whether you're losing on price, lead time or fit, and that changes what you quote and how.

Dead quotes don't disappear either. They go onto your monthly customer email, so the buyer hears from you again when the timing is better.

Questions

Before you book

Do my reps have to change how they quote?

No. Quotes still come out of your estimating system the way they do now. The rep logs each quote in HubSpot with one short form, and the follow-up starts from there.

What if we don't use HubSpot?

I build this in HubSpot. If you're on another CRM, or none, we'll work out the right move on the first call.

What happens after 90 days?

Your team runs it with the guides and dashboard I leave behind, or I keep running it as part of the monthly option.

Tell me what's broken.

30 minutes on Zoom or Teams. You'll leave knowing which fix comes first, whether you hire me or not.
